About the Role
Grampian Health Ballarat is a leading healthcare provider committed to delivering high-quality care to our community. We are currently seeking a motivated and highly organized individual to join our team as an Emergency Department Administration Officer. This position plays a critical role in ensuring the smooth operation of our Emergency Department (ED) by providing exceptional administrative support to our ED Admin Manager and Nurse Unit Manager.
Key Responsibilities
- Providing in administrative support, including word processing, diary maintenance, scheduling of appointments and meetings as required.
- Provide professional, front-line contact for the Emergency Department, including answering and managing telephone enquiries and messages in an efficient and effective manner.
- Assisting with Coordination of Emergency Department meetings, disseminating agendas, papers, minutes of meetings and follow up action items (as required)
- Facilitating and processing of payroll checks and pay-lock of medical rosters, provide support to admin manager with roster lock of Emergency nursing and support staff roster, including roster adjustments for Junior Medical Staff, Nursing and Support Staff in the Emergency Department including, but not limited to sick leave and shift swaps.
- Work collaboratively with the Talent Acquisition Team to promote effective outcomes in relation to recruitment and ongoing administration processes throughout the recruitment process including short lists and interviewing of medical staff
- Assist with the development, implementation and delivery of relevant training programs / orientation to address the training and development needs of the Supplementary Workforce.
Skills & Experience
- Minimum of three years experience in a similar role is preferable and/or completion of Certificate Ill or IV of Business Administration.
- Experience working in a complex environment where sensitive information is treated with the upmost confidentiality.
- Ability to build strong working relationships both internal and external to the department and the ability to work within a team environment.
- Proficient work processing and keyboard skill, including the ability to use range of Microsoft Office programs including Excel, Word and MS
- Strong organisational skills and demonstrated ability to maintain office systems and procedures.
- Experience in co-ordinating a range of concurrent tasks, meeting work deadlines, taking initiative and working effectively with a range of staff in a demanding and complex work environment.
