Redevelopment Clinical Products Coordinator

About the role
The $655 million Ballarat Base Hospital Redevelopment—the largest infrastructure project in Ballarat’s history—is well underway. This major upgrade will deliver a new multi-level hospital tower with a main entrance off Sturt Street along-with a new emergency department, a new helipad, a state-of-the-art operating theatre suite, expanded intensive care unit, a new women and children’s hub and an additional 100 inpatient and short-stay beds.

 

Upon completion, the hospital will have the capacity to treat 18,000 more emergency patients and 14,500 additional inpatients each year, as well as deliver capacity for an extra 4,000 surgeries each year.

 

We are seeking a Redevelopment Clinical Products Advisor to support the Furniture, Fixtures, and Equipment (FFE) activities across procurement, delivery, commissioning, and handover. Working closely with the Victorian Health Building Authority, Stage 3 Contractor (Built) and FFE Consultant (AIM Medical), you will play a key role in ensuring the successful integration of clinical products into this landmark redevelopment.

 

In this role you will:

  • Liaise with internal stakeholders to gather data and review documentation
  • Manage the review and endorsement of specifications and tender documents
  • Participate in tender evaluations and endorse tender recommendations
  • Directly procure select FFE items via Health Share Victoria (HSV)
  • Administer contracts including purchase orders, variations and payments
  • Review shop drawings, prototypes and samples with internal stakeholders
  • Support the development and execution of a logistics plan by AIM Medical
  • Directly oversee cleaning and biomedical activities conducted by GH staff
  • Coordinate and participate in witness testing, asset tagging and training
  • Complete defects inspections and participate in the rectification process
  • Review operation and maintenance manuals and as built drawings
  • Oversee the auditing of transfer FFE and development of a transfer strategy
  • Participate in operational commissioning activities to open the hospital
  • Provide monthly reporting of FFE activities with inputs from AIM Medical, including monitoring and reporting on project risks related to FFE
  • Manage your responsibilities within the projects budget and time constraints
  • Proactively and collaboratively resolve complex issues and effectively negotiate outcomes which support the endorsed GH model of care
  • Maintain communications and document control via Aconex and SharePoint
  • Ensure that key stakeholders are actively engaged and well informed
  • Positively lead stakeholders through this major organisation change

 

What we are looking for:

  • Qualifications in a related discipline e.g. biomedical, nursing and/or project management
  • Experience in a similar role procuring, delivering and commissioning FFE in a healthcare setting, ideally within a large and complex acute hospital
  • Technical skills, including the ability to read architectural and service documentation
  • Strong knowledge of contemporary healthcare systems as they relate to FFE
  • Awareness of clinical products with the ability to research and evaluate them
  • Excellent interpersonal, stakeholder management and presentation skills
  • A driven individual with the ability to work collaboratively and autonomously
