Grampians Transition Care Program Ballarat Administration Assistant - Permanent Part Time 0.6 EFT 

About the Role

The Administration Assistant supports the Transition Care Program (TCP) at Grampians Health Ballarat Campus, assisting with operations and coordination across all Grampians Health Campuses and Regional TCP Health Services, in line with Department of Health requirements. The role helps reduce unnecessary hospital stays and premature admissions to aged care for older individuals.

 

Key Responsibilities

  • Coordinate and deliver administrative support for TCP clinicians, Team Leader, and Program Manager.
  • Prepare and manage statistical, financial data, KPIs, and reports as required.
  • Maintain inventory, manage stock orders, and oversee clinical and office supplies.
  • Organise meetings, including agenda preparation, minute-taking, and tracking occupancy.
  • Process, reconcile, and submit monthly Medicare claims; monitor invoices.
  • Support regional TCP responsibilities, including KPI collection, invoicing analysis, and compliance with Grampians Health policies.

 

Skills & Experience

  • Experience in health administration or a relevant qualification in Administration Studies (or similar).
  • Basic to advanced financial experience in data input, report development, and invoice analysis.
  • Strong knowledge of administrative practices, procedures, and processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and computerised data systems.
  • Excellent organisational skills, with the ability to prioritise tasks, meet deadlines, and handle multiple responsibilities.
  • Effective communication and interpersonal skills, with the ability to collaborate with team members and engage with stakeholders.
