Full Time | Fixed Term – 6 Months (Monday–Friday)

Grampians Mental Health & Wellbeing Service is seeking a motivated, professional and experienced Administrative Services Officer (ASO) to join our team. As part of Grampians Health—one of the region’s leading healthcare providers—you will play an important role in supporting high‑quality care to our clients, carers and the community.

This full‑time, fixed‑term position (maternity leave backfill) provides essential front‑line reception and administrative support to our Mental Health community teams. Hours are Monday to Friday, 8:30am–5:00pm.

 

About the role

The ASO is responsible for delivering exceptional customer service and high‑quality administrative support across our Ballarat-based mental health teams.

In this role, you will:

  • Provide welcoming, professional reception services.
  • Manage confidential and sensitive enquiries from internal and external stakeholders.
  • Complete accurate data entry and maintain office systems.
  • Support information management processes and documentation requirements.
  • Type medical correspondence and other clinical or administrative documents.
  • Contribute to the smooth daily functioning of the service.

This is a fast‑paced and rewarding role that requires strong organisation skills, attention to detail and the ability to manage competing priorities.

 

Skills & Experience 

  • 3–5 years of administration experience, ideally in a healthcare or mental health setting.
  • Outstanding customer service and interpersonal skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and accuracy.Confidence using Microsoft Word, Excel and Outlook.
  • A positive, professional attitude and the ability to support multidisciplinary teams.
  • Flexibility and adaptability in a changing environment.
  • Willingness and ability to learn new systems quickly.
