IT Service Desk Operator
Full time ongoing (80 hours a fortnight with a monthly ADO)

Key Responsibilities

Procurement & Administrative Support (Primary Focus)

  • Administer purchasing and procurement activities for IT equipment and services.
  • Liaise with suppliers regarding IT purchases and delivery coordination.
  • Manage stock levels, monitor inventory, and ensure timely reordering.
  • Maintain accurate stock records and prepare regular inventory reports.
  • Process orders for goods and services, ensuring accuracy and timely delivery.

 

IT Support & Service Delivery (Secondary Focus)

  • Act as the first point of contact for IT support requests via phone and ticketing.
  • Analyse, triage, and prioritise incoming requests using the ITSM tool.
  • Provide first‑level incident resolution and service request fulfilment within SLAs.
  • Monitor the IT phone system and ensure all calls are logged accurately.

 

Information Management

  • Collaborate with information providers across Grampians Health to support cohesive information management.
  • Contribute to departmental activities and provide support as required.

 

Data Quality & Integrity

  • Ensure accurate and correctly classified data entry into ITSM systems.
  • Maintain high standards of data quality across electronic and paper records.
  • Adhere to data security, privacy, and confidentiality requirements.

 

Skills & Experience

  • Experience in administrative support, ideally within an IT or Procurement environments.
  • Strong computer skills, including proficiency with Microsoft applications and procurement or inventory management systems.
  • Understanding of ITIL principles (preferred).
  • Experience with IT systems in a healthcare environment (advantageous).
  • Strong organisational ability with a structured approach to managing tasks, stock, and competing priorities.
  • Excellent time management, ensuring work is completed efficiently and deadlines are consistently met.
  • High attention to detail, particularly in maintaining accurate data entry and documentation.
  • Reliable and consistent, with a commitment to maintaining quality standards in all administrative and IT support tasks.
  • Effective communication skills, enabling clear interactions with colleagues, suppliers, and customers.
  • Proactive problem‑solving, with the ability to identify issues early and take appropriate action.
  • Adaptability, remaining effective when priorities shift or when working across different tasks and environments.
