About the role

We're looking for a friendly, enthusiatsic individual with great accuracy and attention to detail to join our Legal Services team as a support officer. 

The Legal Services Department (including the Freedom of Information and Medico Legal offices) is a small team headed by the General Counsel, which is responsible for the provision and coordination of the legal services required to support Grampians Health operations. Our work includes: contract review and drafting, corporate and commercial advice, general advisory work, medicolegal advice, coordination and representing Grampian’s Health in courts and tribunals and Freedom of Information services. The General Counsel reports to the Chief Medical Officer.

The Legal Support Officer will provide administrative support services to the Legal Services Department as coordinated and directed by General Counsel, lawyers and senior administrative officers to enable the efficient operation of the unit. The role will provide a broad range of administrative services as required to support medico legal, FOI and corporate/commercial functions of the office including coordination and liaison with courts and tribunals, external law firms, liaison with Grampians Health staff in relation to Grampians Health processes and legal office business, freedom of information requests, responses to general queries, and general support for the lawyers.

We are also happy to consider a part-time appointment for this role. 

 

Key Responsibilities

  • Receive, allocate, and respond to requests for information and legal services.

  • Provide accurate, timely, and efficient administrative support to lawyers and senior officers.

  • Maintain and update departmental records and databases in line with records management procedures.
  • Build and maintain effective working relationships with internal and external stakeholders.

  • Respond promptly and professionally to enquiries, escalating issues as required.
  • Maintain and update the Legal Services SharePoint to ensure information remains accurate and accessible.
  • Adhere to infection control policies, procedures, and all relevant government protocols.

 

Skills & Experience

  • Proven experience in providing administrative support in a complex office environment.

  • Experience with electronic document management systems and corporate record-keeping processes.

  • Proficiency in Microsoft Office applications (Word, Outlook, Excel, PowerPoint, Teams).

  • Previous experience in a legal practice, public hospital, or healthcare setting is essential.

  • High-level computer literacy and the ability to learn new systems quickly.

  • Strong attention to detail, organisation, and time management skills.
