Grampians Health is seeking an experienced and motivated Senior Residential Services Admissions & Finance Officer to join our Finance - Aged Care team. This role is pivotal in ensuring a smooth, person‑centred, and compliant admission experience for residents entering our Residential Aged Care services across all Grampians Health sites.

About the Role

The Senior Residential Services Admissions & Finance Officer plays a key leadership and coordination role in delivering consistent, high‑quality admissions processes across the organisation. Working closely with the Coordinator – Financial Aged Care, this position ensures compliance with aged care legislation, maintains accurate admissions documentation, provides occupancy management support, and contributes to financial integrity through reporting and reconciliations.

The role also provides day‑to‑day support to Residential Services Admissions & Finance Officers and acts as a key point of contact for residents, families, internal teams, and external stakeholders.

 

Key Responsibilities

  • Provide respectful, timely, and clear guidance to residents and families throughout the Residential Aged Care admission process.
  • Ensure all admissions comply with relevant aged care legislation, funding requirements, organisational policies, and quality standards.
  • Maintain accurate and timely processing of admission documentation across multiple sites.
  • Support occupancy management, including vacancy tracking and waitlist coordination.
  • Assist with end‑of‑month financial reconciliations and documentation management.
  • Prepare and interpret operational reporting relating to admissions, occupancy, and compliance.
  • Act as an escalation point for complex or sensitive enquiries.
  • Contribute to continuous improvement, audit readiness, and quality initiatives.

Skills & Experience

  • Certificate IV or higher in Health Administration, Business, Aged Care, or related field, or equivalent experience in admissions.
  • Strong understanding of Aged Care Quality Standards, My Aged Care pathways, ACAS/ACAT assessments, privacy and consent requirements.
  • Demonstrated experience in end‑to‑end admissions within residential aged care or a comparable setting.
  • Ability to explain complex fee structures and admission requirements clearly and empathetically.
  • Excellent stakeholder engagement skills across clinical, non‑clinical, and external services.
  • Experience with waitlist management, bed allocation, and high‑volume coordination.
  • High proficiency with administrative and clinical systems, including Microsoft 365.
  • Strong data accuracy, documentation management, and report preparation skills.
  • Experience with end‑of‑month financial reconciliations.
